Prepared as a polished working draft for accommodation bookings. Independent-owner properties use a disclosed booking-agent model; see the final checklist before publishing.
PART 1 — TERMS & CONDITIONS
1. About these terms
These terms apply to your use of the Unique Luxury Getaways website and to accommodation enquiries and bookings arranged through Unique Luxury Getaways (“we”, “us”, “our”). Unique Luxury Getaways is the trading name of Joshua Jennings-Todd, a sole trader, of 5 Park Close, Kinlet, DY12 3BG, United Kingdom.
Please read these terms, the booking confirmation and any property-specific terms supplied before you pay. The booking confirmation and the accommodation provider’s terms may contain important details specific to your stay. If a property-specific term conflicts with these general terms, the terms expressly identified in your booking confirmation as applying to that booking will take priority, subject to applicable law.
2. What we provide
Unique Luxury Getaways arranges accommodation only. We may introduce or arrange bookings for accommodation such as villas, houses, cottages, apartments, chalets, lodges and hotels. We do not sell flights or transport as part of the accommodation booking.
For properties owned by independent owners, Unique Luxury Getaways acts as a disclosed booking agent for the relevant accommodation provider. The accommodation contract is between you and the property owner/provider, whose identity and applicable property-specific terms will be shown in your booking information. We may handle the customer payment as the owner’s disclosed booking agent and, under our separate agreement with the owner, deduct our agreed commission before remitting the remaining amount to the owner. We are not the owner of those properties and do not provide the accommodation ourselves. If, in future, we advertise a property owned or operated by Unique Luxury Getaways, the booking confirmation will clearly identify Unique Luxury Getaways as the accommodation provider and state the terms that apply to that booking. The contracting party and applicable terms must be made clear before you commit to a booking. We will not describe a booking as a package or imply financial protection unless this has been confirmed and disclosed to you in writing.
Any additional services, experiences, transport, activities, concierge services or private dining are not included in an accommodation booking unless expressly stated in writing. These may be supplied under a separate contract by another business.
3. Enquiries, booking and confirmation
-
You must be at least 18 and have authority to make the booking for yourself and everyone included in it. The lead guest is responsible for ensuring that all guests are told about the applicable terms and property rules.
-
Please provide accurate information, including guest numbers, dates, contact details and any relevant access or accommodation requirements. Tell us before confirmation about requirements that may affect suitability of the property.
-
An enquiry or quote is not a confirmed booking. A booking is confirmed only when we have accepted it in writing and issued a booking confirmation, after the required deposit or full payment and any required booking documentation have been received.
-
Check the confirmation promptly, including dates, guest names, occupancy, price, payment deadlines and cancellation terms. Tell us immediately if anything is incorrect.
4. Prices and payment
The quote or booking confirmation will state the total price, currency, deposit, balance due date, payment method and any additional mandatory charges. For properties owned by independent owners, payment may be collected by Unique Luxury Getaways as the owner’s disclosed booking agent. We will then account to the owner and remit the amount due to them after deducting the commission agreed with that owner. Our commission arrangement is between us and the owner and does not change the total price shown to you. A booking is not secured until the payment requirements set out in the quote or booking confirmation have been met. If payment is late, we may notify the accommodation provider and/or cancel the booking in accordance with the disclosed booking terms.
Prices may change before a booking is confirmed. After confirmation, the price will not be changed except where the booking terms clearly permit it and applicable law allows it. Any property-specific charges, such as a refundable damage deposit, local tax, cleaning fee or security deposit, should be disclosed before you commit. The party responsible for collecting and returning a damage deposit will be identified in your booking information. Where Unique Luxury Getaways advertises a property it owns or operates in future, the relevant confirmation will identify us as the accommodation provider and explain the payment arrangements for that booking.
5. Changes requested by you
Please submit change requests in writing to info@uniqueluxurygetaways.co.uk as soon as possible. Changes are not effective until confirmed in writing. We will ask the accommodation provider whether the change is possible. A change may be refused or may result in a price difference, supplier charge or reasonable administration fee, but any applicable fee and cost will be explained before you agree to the change wherever practicable. Some bookings cannot be amended or may incur charges up to the full booking cost under the provider’s terms.
6. Cancellation by you
Cancellation requests must be sent in writing to info@uniqueluxurygetaways.co.uk. A cancellation takes effect when we receive it, subject to any reasonable process needed to acknowledge and action it. The cancellation deadlines and charges for your stay are those disclosed in the quote, booking confirmation and/or applicable accommodation provider terms. Please check these carefully before paying: charges can vary by property and may increase as the arrival date approaches, including up to 100% of the accommodation price.
Accommodation booked for specific dates is generally not subject to the usual 14-day cancellation right for many online purchases. Do not assume that you can cancel for a full refund simply because you booked online. Your statutory rights in any particular circumstances are not excluded by this clause.
We recommend that you take out suitable travel insurance covering cancellation, curtailment, illness, accident, personal belongings and other relevant risks. Insurance is your responsibility unless your booking documents expressly state otherwise.
7. Cancellation or changes by us or the accommodation provider
If a confirmed booking must be changed or cancelled, we will notify you as soon as reasonably practicable and explain the options available under the applicable booking terms and law. Depending on the circumstances and the contract, options may include accepting a change, accepting suitable alternative accommodation or receiving a refund of sums due. The available remedy depends on who your contracting party is, the reason for the change and the applicable terms. We will not exclude or limit rights that cannot lawfully be excluded.
8. The accommodation and property rules
-
Property descriptions, facilities, photographs, ratings and availability are provided in good faith and are based on information from the accommodation provider. Details can change; ask us about any feature essential to your stay before booking.
-
Occupancy limits, check-in/check-out times, minimum-stay requirements, age limits, pet rules, smoking restrictions, noise rules and other house rules may apply. These will be shared where provided by the supplier and must be followed by all guests.
-
Special requests (including accessibility, room layout, cots, dietary needs or early check-in) are not guaranteed unless expressly confirmed in writing.
-
You must treat the accommodation and its contents with reasonable care, respect neighbours and comply with local laws and the provider’s instructions.
-
You may be liable for damage, extra cleaning, missing items, fines or other reasonable costs caused by you or your party, subject to evidence and applicable law. Any damage deposit and the process for deductions should be set out by the provider.
9. Guest conduct and safety
If serious or repeated misconduct, unlawful activity, dangerous behaviour, overcrowding or a material breach of property rules occurs, the accommodation provider may take action under its terms, which can include ending the stay. We will assist with communication where reasonably possible, but we cannot guarantee the actions of an independent provider. No term here removes any legal rights you may have.
You are responsible for assessing whether the property and its facilities are suitable for your party. Tell us before booking about relevant accessibility or special assistance needs so we can make reasonable enquiries. Information about safety standards and facilities can differ by country and property.
10. Concierge and private dining services
Accommodation is our service. If you ask for other services, we may refer you to Luxury Private Concierge for concierge services or to Luxury Private Chef for private dining. Those services are separate from the accommodation booking and are subject to the relevant provider’s own terms, availability, prices and privacy information. Unless expressly stated otherwise in writing, the service provider—not Unique Luxury Getaways—is responsible for delivering and resolving issues with those additional services.
If you ask us to arrange an introduction or quote, you authorise us to share the contact details and enquiry information reasonably needed with the relevant provider. We will explain this sharing at the point of collection where appropriate. You can choose not to request these additional services.
11. Complaints and assistance
If there is a problem with the accommodation, contact the provider or on-site representative promptly and also notify us at info@uniqueluxurygetaways.co.uk. Give the provider a reasonable opportunity to investigate and put things right during your stay. Keep copies of messages, photographs and receipts. If the matter remains unresolved after your stay, write to us with your booking reference and supporting details. We will help direct the complaint to the appropriate party, but responsibility for a remedy depends on the contract and circumstances.
12. Website use and intellectual property
Website text, branding, photographs, graphics and other content are owned by us or our licensors and may not be copied, reused or commercially exploited without permission, except where the law permits. You must not misuse the website, interfere with its security or use it for unlawful purposes. External links are provided for convenience; we do not control third-party websites and their own terms and privacy notices apply.
We take reasonable care to keep website information accurate and available, but content may change and interruptions can occur. Website information is general and does not replace the written details and terms for a specific booking.
13. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or rights you have as a consumer that cannot be excluded. Subject to that, our responsibility for an accommodation booking depends on whether we act as agent or as the accommodation contracting party, as stated in your booking confirmation. We are not responsible for the acts or omissions of an independent provider where the contract is directly between you and that provider, except to the extent the law says otherwise.
We are not responsible for failure or delay caused by events beyond reasonable control, such as severe weather, natural disasters, public-health emergencies, war, civil unrest, government action, industrial disputes or major utility/communications failures. We will communicate with you and the provider and take reasonable steps to address the situation.
14. Privacy, law and updates
Our use of personal information is explained in Part 2 (Privacy Policy). These terms are governed by the law of England and Wales, and the courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights that apply where you live. We may update website terms from time to time. The terms applicable to an existing booking are the terms incorporated into that booking, subject to applicable law; changes to website terms do not automatically rewrite an existing contract.

Payment status, invoices and transaction records. Payments may be processed by third-party payment providers. We do not intend to collect or store full payment card security details in our own records.
-
Technical and usage information generated when you use the website, such as IP address, device/browser information, pages visited, referral source and cookie identifiers, depending on your cookie choices and the website tools enabled.

Information received from an accommodation provider or service partner where it is necessary to manage your enquiry or booking.
3. How we use information and our lawful bases
We use personal information only where we have a lawful basis. Depending on the context, these bases may include taking steps at your request before entering a contract, performing a contract, complying with legal obligations, our legitimate interests in running and improving the business, and your consent where consent is required.

-
Operate website analytics, advertising or non-essential cookies only in accordance with applicable cookie rules and the choices offered through the website’s cookie controls.
4. Sharing information with accommodation providers and other services
To answer an enquiry or fulfil an accommodation booking, we share relevant information with the accommodation provider, owner, manager, booking platform or other supplier involved. This may include guest names, contact details, dates, party size and any necessary requests. We only aim to share what is reasonably needed for the relevant purpose.
If you request concierge services, we may pass your contact details and relevant enquiry to Luxury Private Concierge so they can respond to your request. If you request private dining, we may pass relevant details to Luxury Private Chef. These are separate services and the receiving provider may act as an independent controller for its own service. Please review their privacy information before proceeding. We do not pass your details to either provider simply because you book accommodation; sharing for these additional services is connected to your request.
We may also share information with service providers that support our business, such as website hosting, booking tools, email, customer management, payment, accounting, analytics or IT providers; professional advisers; insurers; regulators; law enforcement; or other parties where required or permitted by law.
5. International transfers
Some accommodation providers or technology suppliers may be located outside the UK. Where personal information is transferred internationally, we will take steps required by data protection law to ensure an appropriate level of protection, such as relying on an adequacy regulation or using approved contractual safeguards where required. Ask us if you would like further information about relevant safeguards for a particular transfer.
6. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including to manage bookings, deal with queries or disputes and meet legal, accounting and tax requirements. Retention periods vary by record type. When information is no longer needed, we will securely delete it or anonymise it where appropriate, unless we must retain it by law.
7. Security
We use reasonable technical and organisational measures intended to protect personal information against loss, misuse, unauthorised access or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please take care when sending personal information by email or through online forms.
8. Cookies and website analytics
The website may use essential cookies needed for its operation and, depending on the tools enabled and your choices, analytics or advertising cookies and similar technologies. Non-essential cookies should only be used in line with applicable law and the cookie choices presented to you. You can also manage cookies through your browser settings, although blocking some cookies may affect website functionality. Third-party services have their own privacy and cookie policies.
9. Marketing choices
We may send service messages about an enquiry or booking. Marketing messages are separate and will be sent only where permitted by law. You can opt out using an unsubscribe link where available or by emailing info@uniqueluxurygetaways.co.uk. Opting out of marketing will not stop essential messages about an existing booking.
10. Your data protection rights
Depending on the circumstances, you may have the right to request access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to processing, data portability, or to withdraw consent where processing relies on consent. These rights are not absolute and some exceptions apply. You may also complain to the UK Information Commissioner’s Office (ICO) at www.ico.org.uk. Please contact us first if you have a privacy concern.
11. Children’s information
Our booking service is intended to be used by adults. A lead guest may provide information about children included in a booking where needed to arrange the stay. Please provide only information that is necessary for the booking and do not submit children’s information unnecessarily.
12. Third-party websites and policy changes
Our website may link to third-party websites. We do not control their content or privacy practices; please read their notices when you visit them. We may update this policy from time to time and will publish the current version on our website with the updated date. If a change materially affects how we use information already held, we will take any steps required by law.
